The Position


Support the President/Executive Committee

  • Work directly for the president and provide personal support. Duties include copying, scanning, filing, making phone calls on his behalf, and coffee/water. Other duties may include personal travel and making appointments
  • Effectively manage the president's calendar, while prioritizing within business needs
  • Proactively support the team with business development efforts
  • Make sure executive team members know what they need to know
  • Manage and organize team logistics
  • Answer incoming phone calls on behalf of the company
  • Organize own work, coordinate projects, set priorities, meet deadlines, and follow up on assignments with minimal supervision and direction
  • Meet and greet visitors including clients, vendors, colleagues, and prospective new hires
  • Draft, edit, and proofread executive-level documents, Excel spreadsheets, PowerPoint, and Word correspondence
  • Positively interact with staff and participate in team meetings/projects
  • Manage calendars for senior executive(s)
  • Organize office and files; this includes creating an inviting and comfortable work environment in the office for employees and clients
  • Schedule executive-level conference calls, videoconference meetings, in-person, and on-site/off-site meetings with clients, C-suite executives, and employees
  • Schedule and organize routine and nonroutine activities such as department meetings
  • Manage sensitive, highly confidential, and proprietary information with discretion and the utmost level of confidentiality
  • Coordinate logistics for client meetings, helping to locate and obtain information and resources internally as well as externally

Manage Office Functions

  • Order and stock appropriate office supplies and equipment for staff. This will include office snacks and fresh fruit
  • Ensure that restrooms are stocked with all necessities
  • Maintain a clean office environment; this includes taking out the office garbage on a daily basis and stocking the kitchen with paper towels, cleaning supplies, etc.
  • Work together to support other team leaders by providing backup assistance as needed


  • Bachelor's degree
  • A minimum of 3 years in a similar support capacity; previous experience supporting a C-level executive in an extremely fast-paced environment preferred
  • Strong computer skills, including extensive experience with Microsoft Office products
  • Strong orientation to detail and accuracy
  • Minimum typing speed: 50 words per minute
  • Highly professional demeanor, discretion and ability to safeguard sensitive and confidential information
  • Well-developed interpersonal skills, with ability to work in a team environment as well as independently with different stakeholders internally and externally
  • Exceptional planning and organization skills and ability to work in a fast-paced environment while adapting to changing deadlines and multiple and conflicting priorities
  • Service orientation
  • Proactive orientation - ability to anticipate what needs to be done without being asked  
  • Attention to detail and accuracy of work
  • Discretion in regard to confidential information
  • Desire to improve yourself and the company - be willing to ask questions, provide feedback, and engage in solutions that will better the company
